3 weeks from initial enquiry to managed event - who said it’s not possible?!? 🤩👏🏼 One of our long standing clients had a last minute change of requirements and decided to run their event in person rather than online…. 3 weeks out from their event date 📆😱 Typically the venue finding and event management process can take anywhere from a couple of months to the best part of a year depending on the client’s lead time and urgency! However in this instance we had to source a venue, book the venue (for 120 guests with accommodation!), find suppliers and organise all the finer logistics in the space of 3 weeks! Keep in mind that most venues require final numbers, dietary requirements and rooming lists 2 weeks out from an event 👀 We were so pleased to be able to make our client’s event possible, even with the short lead time! I just returned from the annual IPEC (Independent Planner Educational Conference) hosted by NorthStar – and I am ANGRY! Why? Because I met one of the most respected heads of a very well-known hotel sourcing company who confirmed exactly what I’ve been telling my clients. Here is what he said: · “I do not negotiated rates on behalf of our clients” · “I do not work for the client – I work for the hotels” · “I do not take phone calls or answer emails” · “Everything from the clients needs to the hotel responses must go thru the app” · “I do not accept proposals from any properties outside of the app” · “I do not do research for the best venue on behalf of my clients – I depend on the properties that reply via the app” He also doesn’t do a bunch of other things - like make sure the contract with the venue reflects the proposals. Helps with planning the event. Help with a/v or F&B. He basically lets a computer do all his work because he is “too busy” to deal with all the details or represent the best interests of his clients. He says his “system” makes it easy for both the client & the venues & thus they are paying for “convenience.” If he was your planner, wouldn’t you be angry too?
