Communication is key and when you have a project or routine contract that would involve a source outside of your company or team , definitive direction and responsibility is key. The first thig you should do is an outline of what the goal to accomplish is and what it takes to complete the task. Decide on who would be responsible for each segment as it proceeds as well as the time frame it should be accomplished. If there are materials or items of equipment involved notate the manufacturer / brand , specific amount , warranty, replacement, back up source, and so on. Make standard times to meet and review the project and include all parties involved to be sure the standard set is actually being delivered as scheduled. If the project is a one time operation set the delivery of events and a final review before acceptance to make sure all are in agreement. If this is an ongoing service to be provided include options to increase /decrease need requirements and what to expect if conditions prevent a particular service from being performed. Have a back up plan so both contractor and owner know what to expect. Once this is together have it reviewed by both parties and when an agreed proceedure is reached everyone signs off and copies are available for all to follow.
