Effective Minutes of Meeting! 📝💼 Meetings are the heartbeat of collaboration, and the Minutes of Meeting (MOM) play a crucial role in preserving and propelling the outcomes. Here are some tips to elevate your MOM game and make your meetings more impactful! 🌐👥 1. Be Prepared Before the Meeting 📅 Start on the right foot by being well-prepared. Familiarize yourself with the agenda, objectives, and any relevant background information. The more you know beforehand, the smoother the MOM process. 2. Capture the Essentials 📝 Focus on key points, decisions, and action items. Keep it concise and relevant. MOM should serve as a snapshot, not a verbatim transcript. 3. Design a Structured Format 📊 Organize your MOM in a clear and structured format. Sections for agenda items, discussions, action items, and deadlines can make information retrieval seamless. 4. Clarify Action Items and Responsibilities 🤝 Clearly articulate who is responsible for what and by when. This ensures accountability and a clear path forward post-meeting. 5. Use Clear and Concise Language 🗣️ Avoid jargon or overly complex language. MOM should be accessible and easily understood by all stakeholders. 6. Be Timely ⏰ Distribute MOM promptly after the meeting while discussions are fresh in everyone's minds. Timeliness enhances accountability and supports swift action. 7. Seek Approval and Corrections 📤 Before finalizing, circulate the draft MOM for feedback and corrections. Ensure accuracy and alignment with participants before making it official. 8. Emphasize Objectivity 🎯 MOM should be objective and impartial. Stick to facts and decisions without introducing personal opinions. 9. Use Technology Wisely 🖥️ Leverage technology tools for MOM creation and distribution. Digital platforms can streamline the process and enhance accessibility. 10. Review Previous MOMs 🔄 Refer to past MOMs for consistency and to track the progress of action items. It helps maintain continuity and a holistic view of ongoing projects. Effective MOMs are not just records; they are catalysts for progress. Elevate your MOM game, and watch your meetings become powerful engines of collaboration and achievement! 💪🚀 hashtag #MeetingManagement hashtag #MOM hashtag #Productivity hashtag #Collaboration hashtag #Leadership hashtag #ProfessionalDevelopment hashtag #BusinessTips 𝑫𝒊𝒔𝒄𝒍𝒂𝒊𝒎𝒆𝒓: 𝘐 𝘩𝘢𝘷𝘦 𝘵𝘳𝘪𝘦𝘥 𝘵𝘰 𝘦𝘯𝘴𝘶𝘳𝘦 𝘢𝘤𝘤𝘶𝘳𝘢𝘤𝘺 𝘣𝘶𝘵 𝘮𝘪𝘴𝘵𝘢𝘬𝘦𝘴 𝘮𝘢𝘺 𝘰𝘤𝘤𝘶𝘳. Here are some key tips for running effective meetings: 💡 Set Clear Objectives and Agenda ✔ Decide if a meeting is really necessary. ✔ Weigh the cost in time against the anticipated value. ✔ Set clear objectives and create a structured agenda with key topics and guideline time slots, even if it's just a few bullet points. ✔ Share the agenda ahead of time so participants can prepare. 💡 Choose Participants Wisely ✔ Invite only those who need to be there and can contribute meaningfully. Avoid wasting people's time. ✔ Aim for a mix of perspectives to generate good ideas, but not so many that it becomes unwieldy. 💡 Keep Meetings On Track ✔ Start and end on time to respect people's schedules. ✔ Stick to the agenda and don't get sidetracked. ✔ If other topics come up, park them for later. ✔ Encourage participation from everyone, not just the loudest voices. ✔ Assign a timekeeper to help manage the clock. 💡 Facilitate Productive Discussion ✔ Encourage free thinking and open discussion of ideas. ✔ Use techniques like a "parking lot" to capture tangents to discuss later. ✔ Give troublemakers tasks to keep them occupied and turn them into allies. ✔ Ask probing questions to dig deeper and uncover assumptions. 💡 Capture Outcomes and Next Steps ✔ Summarize what was agreed and assign clear next steps and owners at the end. ✔ Leverage AI Meeting assistant tools like Glyph AI to automate notetaking ✔ Assign tasks and due dates in a tool like Asana to ensure follow-through. ✔ Share notes and action items after the meeting. 🚀 🔴 The key is to be intentional about meetings - know why you're meeting, who needs to be there, and how to make the best use of the time. With some planning and facilitation, meetings can be productive and energizing, not a waste of time.

Listen more than you talk! For most enterprise and solution architects, myself included, this is sometimes no easy feat. Opinions like airtime!! I find myself having to actively remind myself to keep my mouth shut. Not only can you start seeming like a bully to others on the meeting, but you miss many opportunities to get feedback and understand a situation better. Alissa (my spouse) has saved more than one pitch meeting, by reminding me as I was heading in to talk less and read the room instead! #enterprisearchitecture #solutionarchitecture
"When leading a virtual meeting, don't shy away from those moments of quiet. These pauses can be golden opportunities for you to gather feedback from your audience. It's in these silent intervals that you can get a sense of how your presentation is landing and how your participants are processing the information." #solutionarchitecture #enterprisearchictecture #projectmanagement #meetings

The easiest way to make any meeting more productive? Visualise the discussions. What normally happens in a meeting is that loads of ideas are thrown around and discussed out loud, some people take notes, and others don’t. Some participants understand what’s going on and contribute, while others sit quietly, trying to catch up. Everyone leaves with THEIR OWN understanding (or confusion) of what was talked about. Your understanding might be completely different from mine, leading us to think we’re aligned on something important when we’re not! That's what happens when we don't make discussions visual. So here’s what I suggest you do in your next meeting 👇 Appoint a Facilitator: This person writes down key pieces of information during discussions. I don't mean just a regular note-taker or minutes-taker, but someone responsible for cutting through the chaos by making sure all the key points and conversations are laid out for everyone to see, turning all the invisible ideas floating around into something tangible and visible to everyone. When ideas are put on paper (or a whiteboard), everyone gets the picture! Did you ever try to make sense of something complex and then suddenly got it when you saw it written down or sketched out? THAT’S what we're aiming for. Visual aids help us go from "What the hell are we talking about?" to "Oh, I get it now," making sure no one's left confused. It's about playing to our brain's strengths since we're wired to remember visuals better than just spoken words. So, by bringing conversations to life visually, we're not just making meetings more productive; we're freeing everyone up to think more creatively and solve problems without the extra effort of trying to remember every single detail discussed! Try this in your next meeting and let me know the results! #facilitation #meetings #collaboration

We hear what we want to hear, not necessarily what was said. Tired of post-meeting confusion? Here's a simple solution. 🎯 VISUALIZE YOUR MEETINGS. 1) Assign a facilitator to write down the key takeaways from the discussion. 2) Make sure everyone is crystal clear on the next steps before you leave the room. This approach provides clarity and alignment every time. . . . #facilitation #facilitator #communication #alignment #meetings
