As a new manager, a part of your role will now involve leading a different type of meeting: the one-on-one. Managers set aside time each week to meet individually with their direct reports to check in, align priorities, and ensure each person has the necessary resources to do their job. Here are a few principles to help you prepare for, conduct, and maximize the impact of your one-on-ones. 1. Schedule a weekly, recurring meeting with your team member that aligns with their time commitments, create a meeting agenda to guide the conversation, and share the key discussion points with your team member ahead of time so they can review or add to them. 2. During the meeting, give your team member your undivided attention. Use the points or questions outlined in your meeting agenda to structure the conversation and follow up on action items discussed in the previous one-on-one to gauge their progress. Try to align on action items for the next week, and exchange feedback. 3. After the meeting, promptly send a follow-up email summarizing the key points you discussed. The goal is to outline which responsibilities are theirs to own and which are yours. #MeetingManagement #OneOnOneMeetings

1:1s sprawled faster than crabgrass in the New England summer on my calendar.   The origin of a 1:1 varies but it appears to have come into favor when management philosophies began to stress the importance of feedback and coaching. So began the practice of managers having a weekly meeting with each direct report.   Like all successful ideas, we decided to scale it and now we have 1:1s with everyone.   1:1s are a vitally important construct. It's varied effectiveness is questionable and more is never better when it comes to weeds.   This is how I categorize 1:1 meetings:   ▪ Mutually Beneficial: Co-create agendas for conversations beneficial to both parties. Expect a high degree of shared context and engagement. ▪ Inspiring Development: Encourages growth and development with structured yet flexible conversations. Highly likely to be a positive interaction. ▪ Informative Exchange: Share necessary information in a highly structured way. Risks being a 1-sided conversation. ▪ Time Drain: Lacks structure and clarity of purpose, conversation leads nowhere, typically presented as a 'catch-up'.   If you want to stay in control of your schedule: ✅ Structure your 1:1s: Give each meeting a clear purpose and agenda. 🛑 Apply Weed Killer: Cancel Time Drains immediately.

An effective meeting hinges around following simple rules   At this Daily Management meeting, I’ve been coaching this team to review their metrics which they consider important to having a “good day”. But I’ve found a couple of valuable ingredients that have brought success to the meeting. 1)   Keep to a time contract. Start and end the meeting on time. Ensuring everybody is present to start on time and work towards finishing on time. In this case the meeting started at 7am sharp and finished at 7:15 sharp, unless they all mutually agreed to extend another 5 mins. The clock indicated the time contract. This is where respect for the meeting & each other develops. 2)   Stand Up for the meeting. Removing all chairs from the room enabled the team to be more engaged. Ensuring they stood a maximum of 3mts from the board helped engagement. This was initially done with a line on the floor. If you were participating you stood within the line, if you were observing you stood outside the line. These 2 ingredients made a huge difference to the effectiveness of the meeting. It was fantastic to see the metrics improve and they acknowledged the reason came down to “better run meetings”.   How are you encouraging your team to make their meetings more effective?

5 easy tips to give your meeting a purpose 1. Set an agenda - Plan what you’ll cover, list your talking points, stay on task. 2. Be exclusive - If your name’s not down, you’re not coming in. Ok, maybe it doesn’t have to be quite this serious, but only invite the people who really need to be there. 3. Collaborate - It’s a meeting, not a lecture. Open it up to discussion and Q&A. 4. End with a call to action - Finish with a clear understanding of what should be achieved going forward. 5. Follow up - Track designated actions, ensure accountability, ask for honest feedback. I had promised to post some practical meeting tips yesterday, but due to busyness, I couldn't manage. So here's a short list today. 𝟭. 𝗦𝗲𝘁 𝗚𝗼𝗮𝗹𝘀: Know why you're meeting and establish clear objectives. 𝟮. 𝗖𝗿𝗲𝗮𝘁𝗲 𝗮𝗻 𝗔𝗴𝗲𝗻𝗱𝗮: Keep the meeting on track with a clear agenda. 𝟯. 𝗘𝗻𝗰𝗼𝘂𝗿𝗮𝗴𝗲 𝗘𝗻𝗴𝗮𝗴𝗲𝗺𝗲𝗻𝘁: Motivate participants to actively participate and share ideas. 𝟰. 𝗧𝗶𝗺𝗲 𝗔𝘄𝗮𝗿𝗲𝗻𝗲𝘀𝘀: Respect everyone's time and keep the meeting on schedule. 𝟱. 𝗖𝗼𝗻𝗰𝗶𝘀𝗲 𝗖𝗼𝗺𝗺𝘂𝗻𝗶𝗰𝗮𝘁𝗶𝗼𝗻: Keep communication clear and concise to avoid confusion. 𝟲.
