Job Summary

The Senior Logistics Coordinator will play a crucial role in overseeing the coordination and execution of logistics operations strategy related to Transportation and 3PL warehousing within an assigned Region and/or assigned Customers. Primary responsibility will be to ensure that Transportation program strategy is implemented timely, correctly and within budget, with AVI-SPL offices and transportation vendors. This role requires transportation (direct tender/booking) experience, warehousing best practices and rate structures, some exposure to International shipping, exceptional organizational skills, attention to detail, and supervisory skills to mentor a team of Logistics Coordinators.

Essential Duties and Responsibilities

  • Provide mentorship, guidance, and support to a team of Logistics Coordinators.
  • Oversee the end-to-end daily inbound/outbound logistics operations for AV equipment, including Transportation (Linehaul/first/last mile/White Glove, TL and LTL, Parcel, Air Freight), scheduling, and tracking of equipment between warehouses and to client sites.
  • Identify areas for process improvement and recommend streamlined logistics procedures to enhance operational efficiency.
  • Collaborate with internal teams, including sales, operations, and technical support, to understand client requirements and develop logistics plans accordingly.
  • Collaborate with suppliers and logistics partners to monitor performance, negotiate spot rates, and enforce compliance with service level agreements.
  • May provide some Import/Export support (domestic trucking or air to/from ports).
  • Monitor and assist as needed with preparation and management of delivery schedules, ensuring optimized routing/consolidations and timely delivery of equipment to multiple locations with approved carriers and agents.
  • May require manual BOL entry and tender or booking through approved vendor TMS/websites. Confirm pieces, weight, and dimensions of all shipments.
  • As needed, verify site contact details and keep local offices apprised of ETAs and Exceptions.
  • As needed, make pre-calls to pickup or delivery location personnel to confirm schedule, notify of, or receive, changes and or updates pre pickup and/or pre delivery, to discuss site surveys, convey order updates and receive final instructions.
  • Ensure operational issues/exceptions with carriers/agents are escalated and documented in real time to mitigate disruption to client services.
  • Advise proper BOL notation of Overage, shortage or damage (OS&D) exceptions, file and negotiate freight claims with vendors. Track all freight claims activities to resolution.
  • Spot audit transportation quotes to ensure compliance with vendor rate agreements/tariffs.
  • Audit and approve transportation vendor invoices with correct GL coding for AP.
  • Provide ad hoc reporting on a monthly/quarterly basis for Management.
  • Source temporary 3PL warehouse space with approved vendors as needed for specific projects within assigned regions/customers. Interpret rate sheets to create internal quotes and cost estimates based on scope. Facilitate the transition from quote to live operations for projects requiring 3PL storage and monitor monthly billings to AVI-SPL.
  • Flag and escalate billing discrepancies and service violations.
  • Responsible for managing documents control processes for transportation and 3PL warehousing related documents and digital media: Agent and Carrier contracts/MSAs, SLAs, Tariffs, CAPAs, as well as operational documents (BOLs, PODs, photos).
  • Stay updated on industry trends, regulations, and best practices related to logistics and supply chain management in the AV equipment industry.
  • Other duties assigned as assigned by Management.

  • Ability to adapt to a fast-paced, dynamic work environment and navigate through ambiguity
  • Intermediate PC skills and working knowledge of Office Suite (Excel, Word)

Education and/or Experience

  • Bachelor's degree in business administration, logistics, supply chain management, or a related field, or equivalent work experience
  • Proven experience (5+ years) in transportation/logistics coordination of high tech/high value freight across multiple locations
  • Strong knowledge of logistics and supply chain management principles and best practices. Vendor management or contract negotiation experience highly desired.
  • Familiarity with DOT, FMCSA, and TSA regulations and requirements
  • Exposure to Customs documents and procedures
  • Proficiency in using logistics management software and tools to track shipments and inventory (e.g., ERP systems, warehouse management systems, TMS)
  • Familiarity with AV equipment, including audio systems, video projectors, lighting equipment, and other related technology is a plus
