Performs a wide range of executive physician contracting and recruitment secretarial functions in support of the Leadership team.

Primary Duties And Responsibilities

  • Transcribes dictation, types and proofreads reports, memoranda, and briefs, researches and develops files and records, and takes minutes of administrative and committee meetings.
  • Sets up meetings and conferences, makes travel arrangements, and composes correspondence for Leadership team.
  • Assists the Leadership team in the preparation of monthly/annual reports for all contracting and recruitment communications. Sends out all reports and answers/triages questions.
  • Receives and screens visitors and callers to determine nature of business, reads and routes incoming mail, sets‑up appointments and coordinates the Leadership team schedule, and solves routine problems.
  • Evaluates and develops office systems and procedures for increasing productivity and cost savings including supply and survey data orders/maintenance.
  • Maintains department invoicing and BancPay responsibilities including Locum invoicing needs/reconciliation, candidate reimbursements, expense reports.
  • Creates and prepares candidate welcome packets, gifts, stocking recruitment literature, packets and brochures as needed.
  • Practices proper safety techniques in accordance with hospital and departmental policies and procedures. Immediately reports any mechanical or electrical equipment malfunctions, unsafe conditions, or employee/patient/visitor injury‑accident to Leadership team.
  • Provides documents as needed to key stakeholders, i.e. valuation firms, external legal counsel.
  • Provides back-up assistance regarding Legal Database Management and Recruitment needs during high volumes contracting times and peak recruitment season.


Required

  • Three (3) years of recent experience in providing administrative support in a highly confidential information setting.
  • Must possess excellent written, analytical, and interpersonal skills necessary to perform high level administrative support services.
  • Proficient in computer operations including MS Office (Word, Excel and PowerPoint)
  • Bachelor’s Degree (BA/BS) from a four year college or university preferred. Associates Degree required.


Preferred

  • Three to five years related experience with health care entities such as hospital, clinics, or legal office
  • One (1) year high level administrative support experience
