Administrative Assistant, Investments Office

Position Overview

The Administrative Assistant helps support the mission of the Investments Office (“IO”), which is to ensure that the Foundation’s approximately $6 billion endowment is invested in a manner that generates superior risk-adjusted returns, in order to maintain the endowment’s real value and maximize spending on program initiatives. The position is responsible for providing comprehensive administrative support for the Marketable Portfolio team (currently comprised of two Managing Directors and one Investment Analyst). The position works closely alongside the IO’s two Executive Assistants to ensure back-up support and continuity in administrative coverage across the broader endowment team.

Pay Range: $62,900- $81,400. This represents the present low and high end of the Foundation’s pay range for this position. Actual pay will vary based on various factors, including but not limited to experience.

Work Schedule: This role is on a hybrid work schedule, and required to be in the office on Tuesdays, Wednesdays, and Thursdays.

Principal Duties And Responsibilities

  • Support the general administrative operations of the Investments Office
  • Closely manage the marketable team’s daily and long-range calendar; schedule and arrange meetings as appropriate to in-person, hybrid, and remote meeting formats
  • Handle all logistics for meetings and events, including securing conference rooms, food service, security authorizations, and greeting and seating guests upon arrival
  • Obtain and share pre-meeting background materials to assist the team’s preparation
  • Liaise with external investment managers to arrange complex domestic and international travel itineraries, including securing pre-travel approvals, Visa clearances, and assembling background due diligence materials
  • Prepare and process expense reporting
  • Prepare and process investment redemption and subscriptions through required approvals and recordkeeping processes, working closely with the Investment Analyst and Operations
  • Process and record other legal and due diligence documentation related to new and follow-on investments, utilizing the endowment office’s research management system
  • Process marketable portfolio investment wires and serve as backup staff ensuring the daily processing of capital calls
  • Liaise with other areas of RF including IT to support the smooth functioning of IO systems including Bloomberg
  • Perform other administrative and operational duties as required to support the broader Investments Office

Education, Experience, And Skills

  • A minimum of 2 years of administrative support experience
  • High school diploma required. Four-year undergraduate degree preferred
  • Strong organizational and time management skills; high degree of professionalism
  • Demonstrated proficiency with Microsoft Office tools including Word, Outlook, and PowerPoint; familiarity with Bloomberg, FactSetRMS, Salesforce, Concur, and related applications; Internet research skills, and ability to learn new systems and applications quickly
