This week, a colleague reached out to me with an urgent task. He/she wanted to compare a mailing list (DL) with 100+ names in a PDF document and needed to cross-check if everyone on the list had received the communication. A tedious task, right? Here’s how I handled it. I turned to our in-house Novartis ChatGPT. I first asked it to read all the names from the PDF, then prompted it to compare those names with the expanded mailing list. And just like that, the task was done in a matter of a minute. Fortunately, there were no missing names in the mailing list. But here’s what got me thinking — AI tools are everywhere now. Some of us have fully embraced them, while others are still figuring them out (or avoiding them altogether). Companies are investing heavily in these tools, hoping we’ll all use them to make our work easier. But here's my take. AI, for me, is no different than using a search engine. The more you experiment and play with it, the better the results. And there are two ways to become good at it: a) Dive in and learn – like I did with a course on advanced prompt engineering. b) Spend time with people who are using these tools regularly and learn different ways to prompt. The difference between program budgets and organizational budgets: If you’ve written a grant before, then you’re probably familiar with program budgets. Program budgets are more limited in their scope than organizational budgets, since they only deal with the financials of one specific program. But, grantmakers often also ask for your organizational budget as a part of a grant proposal. Organizational budgets are both plans and records of all the money that comes in and all the money that goes out of your organization, broken down by years and into more specific categories. Grantmakers wants to see your organizational budget because it helps them to gauge the financial health and stability of your organization. Why grantmakers ask to see budgets for completed years: Sometimes, grantmakers will want to see your organizational budgets for several years prior to the year that you’re asking for funding for. This allows them to understand the financial health and history of your organization. If your nonprofit is new and you don’t have several years of budgets, then you’ll have to tell them that. But, if you do have several years of budgets, then you’ll need to make sure it’s all in order. This means submitting it all on one spreadsheet with clear formatting and labeling. The grantmaker should be able to quickly and easily find the relevant numbers and compare them across years.
