    Are you an Accidental Operations Manager?   I had a networking call with a lovely nonprofit person recently who was describing how, upon the departure of two staff members, she had taken on some responsibilities in the organization that were not in her skill set. There were no immediate plans to replace the staff members so she was doing her best to keep all the plates spinning. So, raise your hand if you’ve heard of this or had it happen to you. Anyone? Bueller? In an ideal world, each staff member is only performing the task for which they’ve been hired but too often I see administrative tasks being handled by staff members who do not have the skills or training to perform them effectively. Yep, you heard me, effective nonprofit administrative work requires skill. Just like development and marketing are honed skills, so is administrative support but because there’s the perception it is “just” administrative work it becomes an afterthought rather than the backbone of the organization that it is. So, what to do if you find yourself as the “Accidental Operations Manager”? 1.      Congratulate yourself that you get to do this work! (All kidding aside, this is a key position in your organization and you’re gonna rock it.)   2.      Get yourself organized. There are lots of free time management software platforms out there like Trello or Asana which I recommend for many reasons but even if you grab a pen and notebook and start writing things down, just start getting tasks out of your head and listed somewhere.   3.      Organize that task list into short and long-term tasks and then mark the priority tasks and start knocking them out.   4.      If admin support is your second, or third, job at your organization, block off your calendar so you have specific time to get these tasks completed. It might be an hour in the morning and an hour in the afternoon but block it off and treat them as non-negotiable focus time. If this is not your main job or skill, it will be too easy to let these tasks slide but your organization is counting on you. 5.      Find an operations buddy or mentor. There’s a lot to know in this role so connect with someone on LinkedIn, meet the admin people at another local nonprofit and form a support group, etc. Obviously having just one job per person in the organization is ideal but when you’re wearing the admin hat in addition to your “real” role, it’s critical to your organization’s health that you do it as well as you can. You got this!

I've been a member of the Hive for months now and have met terrific people every time. Sometimes we're able to collaborate on future projects and/or refer each other's business and sometimes it's just great to connect with someone who gets what it's like to work in this industry.
