You're an Internal Communications professional. How do you choose the best employee onboarding software?

Build a relationship with HR I honestly don't know too many internal communication professionals picking onboarding software. It's usually the remit of HR. That being said, a strong relationship with HR and an elevated conversation about the employee experience through the employee life cycle helps you be considered an important influencer around the decision-making table. When thinking about onboarding as a brand-building experience, a communication professional can think beyond the transactional checklist and start thinking about how the values and promises come to life during this important first impression. Remember that onboarding must be supported by real life interactions in order to build long lasting relationships.

You team up with your colleagues from HR and IT 🤝🏼 They are the experts in creating the first steps of the newcomer’s experience in the company in a relevant and smooth way, with platforms & tools that are easy to use - and that will make them feel good about their first days in the company.

Internal communications should be focused on communicating the key messages of the organisation and helping the new employee gain understanding of who is who and who does what. I've found that onboarding platforms that house key information on these points including where to find what, is useful. And if you've got a budget for gamification, make it fun anyway.

For a company with a mix of desktop and “desk-less “ employees, we need a software/SaaS partner that provides structured with flexibility and robust analytics built in, so that we can assess what yields results or not. Before deciding, talk to current customers - they’ll be able to tell you those details that don’t emerge in the sales pitch/selection process ;-)

Whatever software you decide to go with, it is important to ensure there is continuous technical support. You want to be ready for the upgrades to the latest version and also difficulties you may encounter.

In my recent graduate course on Strategic Public Engagement, we are learning about the positive impacts of deliberative engagement to gather diverse opinions and begin to make sense of how these insights can inform action. I would strongly suggest this approach, among a variety of organizational members, to determine what would be the most effective onboarding software and overall approach to implementing it.

Según mi experiencia toda aplicación debe ser testeada pero por encima de ellos el desarrollador debe asegurar que la misma permita la constante adaptación a los cambios a la misma velocidad que se mueve el negocio. Muchos programas fracasan por no tener la capacidad de ir evolucionando conforme al mercado y a las necesidades de los usuarios y las compañías.

Request a demo so you’ll know if the tool provides all the data you need to make informed decisions going forward. Also, make sure your team is trained on how to use the tool. If it's not intuitive to them it won't be used and it will be a waste of time and resources. #internalcomms #commtools

Never buy anything, especially these types of systems without reading reviews and getting other users perspective. Those who have used it can let you know about the software limitations and shortcomings.

Acredito que quando um usuário decide utilizar um programa de forma gratuita ou uma demonstração, tudo pode acontecer, existe uma porcentagem muito pequena do cliente aceitar pagar pelo programa, pois os valores que alguns programas usam, são extremamente caros e inacessíveis para quem está entrando no mercado. As empresas precisam rever seus valores praticados no mercado e buscar alternativas para que todos os profissionais possam ter acesso aos programas. Uma situação complexa para ambos os lados, mas que pode se tornar produtiva a longa prazo.

Understand the digital employee experience you want your people to have. Agree this with all key stakeholders - leadership, HR, IT, digital EX team. Map out what this looks like and then look for tools, tech or options that allow this to seamlessly integrate with your digital EX. Ideally this can be accessed by new joiners before they join and are behind your firewall.

El onboarding es un proceso de acompañamiento que dura meses, y el principal núcleo de la comunicación durante esta etapa es el factor humano. Es esencial el contacto directo intra e interdepartamental —en la medida de la modalidad de trabajo— para mostrar rápido la cultura y generar vínculos. La mejor comunicación hacia un nuevo empleado es que lo estamos esperando: puesto de trabajo y material preparado, herramientas digitales asignadas, plan de encuentros calendarizados y plataforma de formación activa. Asimismo, toda la organización sabe de su incorporación y funciones. ¿Qué software es necesario? Lo verdaderamente necesario es entender que es un proceso bidireccional y que el cometido es generar engagement en la nueva incorporación.

Build enough resilience to be honest about the current barriers to successful onboarding. Is it employee capacity? Interest? Onboarding objectives? I’ve found that the “reasons” for unsuccessful onboarding can at times be more feeling than fact.

No se debe olvidar que el proceso de o boarding va configurando el contrato psicológico de los integrantes de la organización. Más allá del software, que sin duda debe ser muy amigable y práctico, el desafío es general mensajes que entusiasmen pero que a la vez sean muy honestos sobre qué esperar de la relación con la organización. Prometer una experiencia que no es realista cuesta caro.

Regardless the systems, it’s important to highlight that the onboarding is a combination of several “onboardings”. e.g equipments, processes and rules, compliance, project, manager and team and so on. Make sure to take care of them all.
