How can you use technology to collaborate more effectively with your team?

I'm an old school on the subject of collaboration. I feel the best way to collaborate is to talk and if you consider phone as a tool, then that's the second best tool. Nothing beats face to face conversation and its effectiveness. However for managing operations, you may choose any damn tool but it wont be effective unless you have great connect with stakeholders.

This is such a "loaded" question, as technology offers so many opportunities and they are changing all the time. Easy answer is utilizing the basics (MSFT Teams, Cisco Webex, Slack, texting, Calendly, etc). As a baby boomer, I've always felt it was helpful simply to ask what serves your team best. Especially, younger tech savvy team members. Be open to what you are hearing from your team. Allow me one old fashioned “technology” - the tool called face to face conversations - using human intelligence to decipher meaning from words, body language and tone!

For instance, developers work on coding specific features, while testers ensure functionality and quality. The most underutilized aspect of the smart phone is the PHONE. When you are struggling to communicate through other channels the best solution is often as as simple as a call.

Technology enablement needs to be aligned with what the process needs, not other way round . Clarity in process and outcomes always help to get a better alignment of what kind os features / functionalities we need in the tool.

The key activities in any effective team collaboration involves dissecting of idea and data points or present counters to an innovative idea - so as to challenge and solidify the core essence or to the very basic a one way knowledge transfer. While the age old room conversation is possibly irreplaceable, however it might not always be possible for in person discussions. Selecting the right tools and props and do the deal. It is definitely not one size fits all. For example for a team dealing with a NPD problem and trying to solve the intricacies would need involvement of lot of touch and feel tools. While if the discussion is on ideas presented in Microsoft power point, a teams meeting with recording and scribbling facility does the trick

Instead of attributing success solely to the technology itself, it is crucial to recognize that success is determined by human behavior and responses to the technology. The key lies in finding the optimal balance between comprehending the capabilities of the technology and understanding the individuals present in the virtual space, along with clearly defined objectives. This balance fosters deeper connections and promotes collaboration. It's in the balance!

Technology is effective and use should be encouraged. We have a very good capability in my own company which provides a good finger on the pulse of people engagement. Organisations need to be careful not to abdicate engagement to technology as staff thrive on their personal engagement interactions

It is imposible to implement any tool or technology before assessing your team, considering their limitations, maturity and even generation they belong, as well as your teams goals and objectives. These knowledge will help the leader not only choose the right path but also define in which time the team will be 100% adherent

On top of that is always looking for areas of improvement of expectations & protocols as the level of competition is evolving day by day which means we are always in a race to maintain the set level of expectations & self standards.

As a consultancy that mainly works remotely, we use a Standard Operating Procedure (SOP) covering the basic identifiers and add, internal project name, purpose and quantity any time allocation, if QA checks need to be added and deadline. Additionally other notes and special conditions are provided, including frequency of updates and feedback milestones. If regular sessions are not planned we use many different mediums other than telephone, such as Zoom calls if graphical elements need discussion, Pumble for Chat, Dropbox & GDrive for document storage or file transfer. All emails are tracked and recorded automatically from Outlook onto our CRM and failing all that, there are some local pigeons!

In situation where you have team mates with diverse skill sets working onsite or remotely technology has promoted share goal to achieve group success and deliver outstanding work. We’ve been using Mural with our team development and learning programs for many years. One simple advantage of using it (or Miro or other whiteboards with options to create templates) where it’s better than F2F is in the brainstorming process. Everyone has equal access to the sticky notes - in F2F there are always the dominant 2-3 at the front with the introverts at the back (who can’t see, so often zone out). We give silent periods of a few minutes to put up ideas and then go into groups. The voting system & timer make it easier to do creative thinking. We’ve even done this with very large groups and I can instantly see the output from all groups without having to run around the room. Great improvement in terms of inclusion and speed.

We can now collaborate better, deliver quality, report better but above all enjoy our work and relationships. There is more visibility now on each others role, tasks and responsibilities to the extent that anyone can pick just about any task if a colleague is for one reason or the other is absent. We recently released a colleague to work from home while attending to a sick child and it worked out perfectly well! Yes technology has blessed us!

Such approaches work well with geographically dispersed groups and enable working in different dimensions (many to many etc) compared to Teams/Zoom calls (one to many too often) or email (worse still).

Une chose qui a été très utile dans chacun de mes projets et surtout dans les projets d'envergure est l'adaptabilité des outils au fil de l'avancement dans le projet. Une organisation claire, partagée et documentée permet à chacun de retrouver les informations à tout moment sans être noyé avec des mails avec des pièces jointes. Ainsi chaque acteur a des repères pour s'y retrouver à son retour en cas de vacances par exemple sans s'inquiéter d'avoir louper une distribution d'information.

Primero, es importante que el equipo de trabajo posea las capacidades suficientes para explotarla, de no ser así, la mejora tecnológica dificultará el trabajo en lugar de facilitarlo. Be a collarobation technology chameleon. Plenty of tools available to the same purpose. Often within one company many of them coexist. As a consultant, project manager, project member or key employee you should be able to understand and use them depending on ehat is the preferred choise of your team. Be open, be flexible. Online tools can help not only the remote collaboration, but in person meetings, workshops, co-located teams.

More and more we are finding that the most important tools for innovation are not directly centred around the innovation concept itself. They are actually more targeted towards reducing current workload and creating capacity for the "innovators" to innovate. These include daily rituals, day planning, task management and optimal collaboration techniques.

Understand that most people don't want to break old habits or try new things. To communicate effectively in a group someone has to set reasonable ground rules. Hopefully it's done by the boss. Next step - always - is to enforce the rules. Gently at first, but with tact, forcefully if required. One surefire approach is to identify the most rebellious and put her in charge of notices, attendance and promptness. And if there are questions regarding the technology to be used open it up to criticisms and suggestions. But put a short, say three days, time limit on it. Then settle on a decision backed by the majority. It then becomes a matter of enforcing the rules and process. Always a challenge at first!

Collaboration is actually very simple. Just be quiet and listen. So often we listen with the intent to reply. Instead, try listening simply with the intent to understand. Nothing more. Once we understand other’s perspectives, real collaborations can begin. Get your ego out of the way and watch the magic happen.
