You're faced with technical issues on calls. How do you ensure professionalism and efficiency?

One thing I have found helpful is to stay calm when facing technical issues. Advise the customers to use other channels to get help. Communicating to the customers about the issue and how long it will take to resolve will ensure their confidence and trust in the brand.

Avoid saying "you" or "I;" you are solving the problem *together* with the client. Use the royal "we" to avoid a you-versus-me dynamic. They will mirror your mood and follow your confidence, so keep composed and maintain a good attitude!

Facing technical issues on call. 1. Be calm and listen to the user's issues without interrupting him. Let the user explain the issue completely 2. Understand what the user wants to explain and assure him that you will take care of the issue till resolution. 3. Analyse the situation and ask the user about all the necessary details requried for resolution. 4. Keep the user informed with updates on regular intervals or as per the SLA. 5. Provide proper resolution to the user with the exact cause and if not then try to provide a workaround so that the user's work is not hampered. 6. Keep everything documented for any future reference.

I will handle the call this way: Thank you for contacting XYZ, my name is XZY, who am I unto and how may we assist you today... while the caller is complaining, I will remain calm and listen to them while documenting their issues on the CRM.

Stay Calm: Keep a composed and reassuring tone. Deep Breath: Take a moment to center yourself. Assure the Customer: Let them know you're there to help. Prevent Escalation: Your demeanor can influence the customer's response. Show Commitment: Demonstrate your dedication to resolving the issue. Contagious Calmness: Your calm attitude can help ease their frustration.

Clear Communication: Avoid technical jargon that could confuse the customer. Explain the Situation: Describe the issue in simple terms they can understand. Steps Taken: Inform them about the actions you're taking to resolve the problem. Realistic Timeframe: Provide an estimate of when the issue might be fixed. Simplify Complexity: Break down any complex details into understandable parts. Keep Them Informed: Update them regularly on progress and any changes. Build Trust: Show transparency in your handling of the situation.

Once I have documented the caller’s issue on the CRM, I will go ahead and communicate properly saying : we apologise for every inconvenience this has caused you...., we will work on it and resolve it as soon as possible. You'll get a feedback from us within 24-48hrs; would that be all for now...? If it's a yes, thank you for calling XYZ and have a great day ahead.

Use Diagnostic Tools: Employ specialized tools to diagnose and pinpoint the root cause. Guide Customer Steps: Direct the customer through troubleshooting steps they can perform on their end. Proactive Problem-Solving: Demonstrate a proactive approach to resolving the issue promptly. Commitment to Resolution: Show dedication to finding and implementing a solution swiftly.

Confirm Solution: Ensure the issue has been resolved satisfactorily. Customer Satisfaction: Check in with the customer to verify they are happy with the resolution. Preferred Communication: Use their preferred method (phone call, email, etc.) for follow-up. Reinforce Importance: Show that their experience matters by reaching out. Positive Relationship: Maintain a positive rapport beyond issue resolution.

Once technical issues have been resolved, you can now contact the caller to ensure his/her issue has been resolved. This can be done through email, calls, surveys.
