What is Concur?

Concur is a suite of travel and expenses management app that aims to make business travels easy to book, manage their costs, and liquidate or bill the expenses. The app can serve the official travel dynamics of both small companies and Fortune 500 corporations. It has four major components: Concur Expense; Concur Travel; Concur Invoice; and Concur for Mobile.

Concur Expense makes it convenient and seamless to track, analyze, and report about business travel spending. An expense can be immediately recorded and approved by taking a picture of receipts. It can also incorporate electronic receipts of airlines, hotels, restaurants, and ground transportation services, as well as credit card purchases. Furthermore, the module can integrate with enterprise resource planning data for greater visibility of your budget and expense.

Meanwhile, Concur Travel features customized trip planning process that lets managers approve or decline request adjustments. The module offers a wide inventory of global travel distribution systems, including negotiated prices and web-only fares. You also get over 25 report templates to document your staff’s travel spend.

Concur Invoice, on the other hand, offers dynamic options to match your invoice and purchase requisition work flows. The module matches purchase orders versus deliverables that helps you to have a tight grip on vendor compliance. Likewise, it features automated vendor payments, such as, ACH, checks, and credit cards. A supplier self-portal allows vendors to check invoices and payments without the need to bug you with calls.

A mobile version for iOS, Android, Blackberry, and Windows Phone is available to help you bring Concur’s major features with you, from booking to invoicing and expense reporting.

PROS: It offers a simple interface for anyone to use. When it comes to capturing your receipts, this tool is reliable. It allows you to use your device from anywhere and capture the receipt, then upload and attach it to your expense report. It has a great tracking feature when it comes to tracking the reimbursements. When a request to reimburse is sent or submitted, it is tracked with ease and thus faster reimbursements for your expenses. For example, when I incur expenses, I can send a reimbursement request and be assured of the reimbursement the next payroll. This makes my work easier altogether.

CONS: There are always things to complain about when it comes to any software application. For Concur, it is no different. I was able to come across minor glitches in the use of the application in my line of work. However, they were just minor which means here is very little to dislike about this tool. It is reliable in creating and submitting expense reports. The thing that I disliked about it is that I was not able to edit the report once I submitted it. This forced me to cancel it and create a new one to correct the minor error I had done. It would be nice if one could edit the expense report even after submitting as this would save a lot of headache and time for the user.

PROS: It provides an all-round way through which you can create and submit an expense report for your entire travel experience. The interface is simple and offers great way for you to execute this without much effort. You do not have to worry about the individual expenses you incur throughout your trip as this tool offers a mobile application for you to capture the receipts on the move. This means that you will have everything with you into the application to create the expense report. You thus do not have to carry with you the receipts as prove of your spending. At the end of the trip, you will be able to submit the reports with ease.

CONS: Using this tool is bliss on my part. There were very few things that came into my mind, which I did not like. With a reliable way through which you can track expenses and submit a report with ease, there is not much to dislike about this tool. However, I had a problem with how it records expenses for a stay in a hotel. Adding the taxes proved to be a headache on my part. It would not accurately indicate the actual expense when you include the taxes. In most cases, the figure would be incorrect up to 10 cents. Although this was easy to correct afterwards, the problem can be disappointing.

PROS: It has become a reliable solution in terms of tracking and creating expense reports. You can do this for your travel plan as it helps you to create and submit expense reports. It is easy to do this once you get started. There is an expense delegate feature, which allows you to add other users such that, they can submit the expense reports on your behalf. It is both web and mobile compatible which adds to the efficiency. For the learning curve, there are videos to help you understand how this tool works and thus easy to get started. I am able to track all the individual expenses I incur during my entire travel. For example, I can record or create a report for the meals I have taken and be assured that they are recorded in the product as expenses.

CONS: It can be difficult to go back once you have submitted the report. I tried to edit the report once I found out that I had made a mistake but it was impossible. This was a frustrating experience as there was no way to edit that expense report. What was left to do is to cancel that report and go back start over and submit a new and correct report. It was an issue that I did not like about the tool. It would be good if there was a way to correct the incorrect entries you have made in the report once you submit it. This would save time and eliminate the need to create a new one.

PROS: The concept is great. If the software actually did what it represents it would be useful. Unfortunately it does not even come close.

CONS: The booking application does not select the most preferable options for frequent travelers. I can book travel cheaper, faster and easier than using Concur. Ahh you say but if you book through Concur it automatically enters this information into your expense report! NOT SO, you have to go to concur travel and print the Itinerary to PDF, then go to concur expense and import the PDF you just created as the receipt. This isn't optional as the Airfare receipt is required before you can submit an expense report.

PROS: It is possible to take photos of receipts and then upload then into the application. When you are travelling, you will incur costs that you need to be refunded once you end your business trip. This tool equips you with the right features and platform to help capture those receipts and create an expense report. In short, you do not have to carry with you all those receipts or pile them in one place to attend them at the end of the month. You can track an expense by scanning the receipt as it happens. All those scanned receipts are stored in one location electronically which makes your work easier. Apart from that, it makes your travels easy to plan and book.

CONS: There are a few glitches here and there. This tool does not do everything for you, and in some cases, you have to edit some of the details which are not correctly entered by the system. For example, it can categorize breakfast as dinner, which means that I have to go to that report and edit it before submitting. This can be annoying at times. Apart from that, the travel page does not lead as fast as it should be. This may take a few minutes of your time which is not that big of an issue. All in all, the tool does what it promises in terms of tracking what you have spent in your travels and submitting a report for the purpose of reimbursement.

PROS: It is a great tool for tracking your travel expenses. Once you incur expenses during our business related trips, you will be able to use this tool to capture the details of the receipts and then submit it in the form of reports. It helps you to store those receipts for the purpose of verification, reference, and approval for reimbursements. Managing those receipts and expenses is made easy by the mobile app that comes with this product. Once you take photos of the receipts and upload them, your reimbursement will be fast and easy to process. There is also a web based version which does the trick when it comes to tracking what employees have spent during their business travels.

CONS: Everything is smooth as it is with this tool. When we experience problems with how to use it or simply glitches with this tool, customer support was highly responsive to react and provide a quick solution to get us back on track. The entire journey from start was smooth and we could have never asked for more. It proved to be what we needed for tracking travel expenses for our employees and reimbursement of the same. In short, there is nothing to dislike about this tool as we have had much success with it since implementation. It is now much easier to manage all those travel expenses.

PROS: Dealing with receipts can be a daunting task. You have to pin them together throughout your trip and hope that one or two does not get lost. With Concur this has been eliminated as you only need to take photos of those receipts and attach them to a report. In short, you can lose the receipts and still manage to track all those expenses provided that you have uploaded them into the product. It makes your work easier as you have little to deal with. The tool helps you to create an expense report and submit it once you conclude your trip for the purpose of reimbursement.

CONS: It can be difficult when you want to track and record hotel expenses. This is because the rates vary every night and in every hotel. However, Concur assumes that those rates are the same. For example, when you spend in a hotel room a couple of nights, the rates may differ for those nights but this tool assumes those rates to be the same. This means that I have to go back and edit that report to disclose that difference. This also goes for when you spend the night in different hotels. Apart from that, this tool does not integrate with Tripit. It would be better if such integration was available for efficiency when it comes to using this product.

PROS: I use Concur to plan or book for trips. It has become a reliable tool due to its ability to help me create expense reports for those travel options. The idea is to expense for the entire trip and that is what this tool does. I can also add other expenses as I move along to help complete the report. In the case where I have not completed the expense report, the tool reminds me of a pending report that needs my attention. Everything is smooth when it comes to this product. You can even have multiple reports for different departments. The travel options, the tool provides, helps you to find an option based on you tailored needs.

CONS: There is little to dislike about this tool. The interface is a little bit dull and it could use a makeover to make it attractive and user friendly. This would help users to find it easy when it comes to using this product for creating, submitting and approving of expense reports. It is no doubt that Concur has come at a time when creating and approving expense reports is a hectic process. However, it has made it possible and easy to do that due to its great features. Apart from the interface, Concur has come out as the best in the market due to its simplicity and reliable in coming up with expense reports for each department.

PROS: I really love the mobile app that comes with this tool. This means that I can track my expenses when traveling. It eliminates the need to keep the receipts as you can take photos and upload them on the application to create the expense report. I am able to do this on the move thank to the mobile applications Concur has. When I go for business trips, I can record those expenses I incur and submit a report at the end or when I get home. This means that my refunds are processed with ease and fast where I can receive my cash before the week ends.

CONS: It is not designed to accommodate a complicated system where expenses are categorized in different groups for the purpose of exemptions. For example, when using university funds, it can be difficult to know where to group a certain class of expenses that you incur during your business trips. This means that when you submit the report, it may be sent back to you to correct or add an item under a particular group of expenses. This means that your money will not arrive as soon as you would have expected. It would be better if there was such a feature on the tool that allows you to know which expense belongs to what group and so on. This would save a lot of time and effort.

PROS: It was tricky at first, as you would expect with any new tool. It was difficult to get around the features and how they work in term of planning or booking your travel plans. However, with time, everything seemed simple even for new users who came to use the tool. It was a great experience when you want to book travels on the tool and submit expenses. Everything was seamless as I could perform all those tasks within the tool from one location. Once I got the hang of things, it smooth all the way as I could manage the business travel plans and expenses on the same platform.

CONS: There is little or nothing to dislike about this tool. It has worked very well for us in solving different problems we thought they could not be solved. When it comes to expense tracking and booking your business travel, it has been seamless all the way. Although at first there was a learning curve, it may have been our fault as the tool was new to us. However, we were able to pick up speed and found the tool to be easy to use in the end. The experience was thus smooth and we were able to do all that thanks to Concur.
