Passenger elevators and all escalators are to be used for transport of booth materials; please consider their size limitation.
Move-in / Move-out / Parking
All large sized items must be handled/executed through the Convention Center loading docks only.
Passenger elevators and escalators to the event space from facility lobbies are available for hand-carried materials.
All booths and freight, regardless of size, must come through the loading docks and be transported on freight elevators; please consider their size limitation.. For the safety of our guests, passenger elevators or escalators are prohibited for use in transporting booths or freight.
Specific dates and times for your move-in will be given to you by your Show Manager. During these times, please pull around to the back of the Center to the loading docks. Please note that no vehicles will be allowed on the dock ramps or inside the hall without prior approval.
“No parking” zones, tow away zones and other restricted areas will be strictly enforced.
When loading and unloading, make certain you do not block exit doors or obstruct with freight, equipment, display material, trash, etc.
Please do not leave vehicles unattended in the designated unloading areas.
Overnight parking is not allowed.
Deliveries
All show/event freight inclusive of booth pieces are to be shipped and delivered to the Center.
Packages will be accepted at ICC 3 days prior to the event on 9/16. Any packages that arrive prior to 9/16 may be declined.

For example: If your vendor XYZ, has 2 packages that will be shipped to ICC for the event.
- Your vendor, XYZ, will need to pay the material handling fees for each package- depending on the weight.
- Once the packages arrive at ICC, the packages will be stored in our shipping room until 9/19 the date of the conference.
- Packages will be accepted 3 days prior to the conference.
- On 9/19, ICC will have the 2 packages placed at their table for load in.
- ICC will only place the packages for the vendors that have requested and paid for material handling.
- If you have vendors that did not request material handling, the vendor will need to go to the Security office on Level1 to retrieve their packages.
- At the end of the conference on 9/19, your vendor, XYZ will need to have both packages packed, sealed and labeled for return pickup.
- On load out, ICC will pick up the 2 packages and return the packages to the shipping room for courier pick up.
- ICC will only pick up the packages that have requested material handling.
- Vendors who did not request materials handling will need to take their packages to the Security Office so they can be picked up from the courier of their choice.
- Your vendor XYZ, will need to call the courier of their choice to schedule a pickup.
- All vendors will need to schedule a pickup for their return packages.

This year’s conference exhibit area will be themed after the historic, State Fair Midway. We are asking all exhibitors to include state fair theming with a tabletop game, floor activity, snack*, or giveaway for attendees. After registration, we will ask for your game/dimensions to ensure spacing and reduce duplicates. The “Best Booth” exhibitors will be awarded.
*Irving Convention Center only allows outside snacks that are prepackaged and individually wrapped.

- Game Idea – Submission Date: August 1, 2024
- Approval Date: by August 8, 2024, you will receive feedback on whether your game is approved.
