About the Job

The Executive Assistant is responsible for providing high-level administrative support to the to the President & CEO of McDaniel, ensuring optimal use of his time and resources.


Key Duties and Responsibilities

· Manage the President & CEO’s calendar, schedule appointments, and coordinate meetings and travel arrangements.

· Provide and coordinate administrative services and assistance for the President & CEO, ensuring confidential, accurate, efficient, and timely support to achieve the objectives.

· Help with the organization and prioritization of the President & CEO’s inbox to ensure key items are addressed in a timely manner.

· Provide support to the Board as directed by the President & CEO, including taking meeting minutes of the board, committee, and special meeting and proactively following up on any action items.

· Prepare and organize reports, presentations, and correspondence for meetings and events.

· Manage the coordination and logistics of both internal and external meetings.

· Maintain a high degree of discretion and confidentiality.

· Anticipate the needs of the executive and proactively address them, including managing priorities and deadlines.

· Assist in organizing and coordinating certain company events, meetings, and conferences.

· Enter expense reports for the President & CEO.

· Work collaboratively with various departments and all levels of staff.

· Other related duties as assigned.


Qualifications/Skills

  • Diploma or certificate in administration, business, or a related field
  • Minimum five years of Executive Assistant experience is required, ten years or more is considered an asset.
  • Advanced Microsoft Office proficiency
  • Excellent verbal and written communication skills
  • High level of discretion and the ability to handle sensitive information
  • Strong organizational and time management skills and administrative skills
  • Ability to work independently as well as part of a team
