When you visit www.a2c.quebec (hereinafter the “Site”), the A2C may place certain information on your computer in the form of a cookie or similar file. These cookies are primarily used to analyze our traffic with the help of Google Analytics GA-4 and to identify the visitor’s browser language. This data allows us to assess the success of each page on the Site and to collect statistics for our reports, such as the Year in Review. The data is collected for statistical purposes only and is accessed only by authorized A2C employees or agents who need to access it as part of their duties.

More specifically, here are the three (3) types of cookies used on the A2C Site:

We use Google Analytics GA-4, which allows us to learn more about Site visitors and their activities. To do this, Google Analytics GA-4 collects certain anonymized data about you from your computer, namely: 1) information about your visit (pages viewed, duration of visit, etc.), 2) type of Internet browser, and 3) type of computer system you are using.   • Functionality cookies: These cookies are used to recognize and remember your preferences. They use information such as your language preference to ensure that you always access the same version of the Site.

Privacy Policy

The Association of Creative Communications Agencies (hereinafter “A2C”) is committed to respecting the security and confidentiality of your personal information and confidential data and is committed to protecting them and using them only for the necessary and legitimate purposes for which they were collected.

This policy is intended to inform you about our privacy practices. Therefore, we want to inform you of the purposes for which we collect your personal information, how we collect it, and how it is stored and used.

Scope and Application

The policy applies to all personal information collected by A2C from the a2c.quebec website (hereinafter the “Site”) or its other platforms. The policy is subject to the Act respecting the protection of personal information in the private sector (Law 25), as well as other applicable legislative and regulatory provisions (such as the Canadian Anti-Spam Law).

Information We Collect and the Reasons for Collection

We limit the collection of personal information and data to that which is necessary to provide the services offered by A2C (training, conferences, and industry events, content and documentation, surveys and studies, etc.).

This information may also be used to improve the content of our Site, evaluate the interest and popularity of our services, and improve our services.

With your consent, we may also collect your information to contact you to provide more information about our activities, news, services, and events. A2C may also seek your consent to use your personal information for other purposes.

Of course, you can modify or withdraw this consent by writing to us at [email protected] or via the unsubscribe tool included in all our emails sent via Mailchimp. Note that the Mailchimp unsubscribe tool allows you to unsubscribe from specific lists. Also, after unsubscribing, if you wish to re-subscribe to one or more of our lists, please contact us at [email protected]. Note that certain lists and services are limited to our corporate members and certain of their authorized representatives.

A2C retains information for a reasonable period to achieve the purposes identified at the time of collection or fulfill our legal obligations. We establish retention criteria based on the type of information collected and the purpose pursued.

Once the identified purposes are achieved and the information becomes unnecessary or if the person requests that it be deleted, we destroy it or anonymize it to ensure its protection against unauthorized access or disclosure.

Thus, we do not disclose your personal information to anyone outside of authorized A2C employees without your consent, except:

  1. our suppliers of goods or services whose services have been retained to perform specific tasks on our behalf (e.g., IT firm, accounting firm, law firm). In this case, A2C takes the necessary contractual and technological measures to ensure that these suppliers of goods or services process your personal information only for the purposes specified in their contract with A2C and provide a level of protection for personal information that is comparable to or higher than what A2C provides for the personal information in its possession.
  2. any entity in the event of a merger or change of control of A2C, in whole or in part, and only if the parties enter into an agreement whereby the collection, use, and disclosure of the information are limited to the objectives of the business transaction.
  3. any organization, entity, or authority authorized by law.
  4. any other purpose permitted by law, for example:
    • when it is impossible or impractical to obtain the consent of the person concerned for legal reasons or for security reasons;
    • when information is collected to detect or prevent fraudulent acts or to enforce the law and requesting the person’s consent could undermine the process;
    • if A2C must protect its rights and property.

Personal Information Regarding Minors

The information on our Site is not intended for minors. A2C does not knowingly collect any personal information regarding minors.

Security

Contractual and Technological Measures: Supported by its IT and cybersecurity partners, A2C makes significant efforts to ensure the security and confidentiality of the personal information and data transmitted to it. A2C has implemented contractual and technological measures for this purpose and ensures their regular review and improvement in accordance with its internal cybersecurity and personal information protection program.

All information and data are stored in a secure cloud solution and protected against unauthorized access and malicious use.

A2C also protects personal information disclosed and stored by its suppliers under their contract with A2C to maintain their confidentiality and limit their use to the purposes for which they were collected. Although A2C prefers to contract with Quebec and Canadian suppliers, some of our service providers may store or process your personal information in a country other than Canada. If required by law or a court order, authorities in that country, including law enforcement and national security authorities, may have access to it.

Sending and Receiving Confidential Emails: Any email containing sensitive personal information or confidential data must be transmitted to us via secure email or encrypted document. Any email sent by A2C containing sensitive personal information or confidential data will be sent via secure email or encrypted document.

Notice: Please notify us of any breach, concern, or suspicion of a breach of confidentiality or security in your own systems that could impact the security of A2C’s systems and the information and data they contain.
